open transaction history the open transaction history settings control how far back users can enter financial transactions in the system transactions include invoices, charges, payments, refunds, and adjustments these settings help prevent users from backdating transactions beyond a permitted period , ensuring financial reports and historical records remain accurate open period the open period sets the default window for how far back transactions can be dated this period works on a rolling basis , meaning the allowed window updates automatically over time for example, if the open period is set to last 12 months , users can only create transactions dated within the last 12 months from the current date available options include • last 3 months (short window) • last 6 months (standard) • last 12 months (full school year) • last 18 months (extended) the last date field shows the earliest transaction date currently allowed based on the selected period role based access administrators and finance staff can be given extended transaction windows open admin role period – allows administrators to enter transactions further back than the standard open period open finance role period – allows finance users to enter transactions further back when needed available options include the same periods as above, plus last 24 months (finance extended) manually setting a lock date you can override the rolling window by enabling manually set and entering a transaction lock date when a transaction lock date is set, users cannot create or modify transactions on or before that date optional overrides allow specific roles to bypass the lock admin override – allows administrators to override the lock date finance override – allows finance users to override the lock date
