Prospect Reports
The Prospect Reports section lets you track, review, and export data about your Prospects, including performance, advisor activity, lost prospects, and rejected prospects. You can filter reports by period, location, tags, lead source, and more, then view detailed results, generate charts, and export the information in PDF, CSV, or XML format.

The Performance report provides a summary of all Prospects added during a selected time period, along with their current status. You can filter the report to view overall totals, breakdowns by category, and generate charts for easier visualization.

Select your period and date range:
- Choose a Period (e.g., Year to Date, Last 30 Days) or set custom From and To dates.
- Optionally, set a Period Division (by Month, Quarter, or Year) to divide the results.
Choose a Breakdown (Optional):
- Use Breakdown By to group the results, such as by Tags, Interested Program, Country, or Province/State.
- Breakdowns help you see how your Prospects are distributed across different categories.
Apply additional filters (Optional):
- You can filter Prospects based on attributes like Location, Admission Advisor, Lead Provider, Stage Status, International status, and more.
- Filters help you narrow down the report to specific types of Prospects or recruitment sources.
Generate a Chart (Optional):
- Choose whether to generate a chart to visualize your results.
- You can select the Chart Type (Pie, Bar, etc.) and whether to display data labels.
Click Apply to generate the report.
Once you click Apply, ampEducator will generate the report based on your selected filters.
You’ll see a visual chart at the top (if you chose to generate one), showing the distribution of Prospect statuses. Each status is color-coded and matches the legend.

Below the chart, a results table appears. The table summarizes the period (if you selected a division like month or quarter), the total number of Prospects, the number at each lead stage, and the conversion percentage.
You can also expand the table by clicking the expansion icon (small plus sign) next to the Period row.

Expanding the row reveals a detailed list of individual Prospects. Each Prospect entry is color-coded based on their current stage to make it easier to scan visually.
The Activity Report tracks actions taken by Admission Advisors, such as meetings booked, notes added, phone calls made, and tasks completed.
Start by selecting your filters at the top:

- Period: Choose a date range, such as Year to Date, Last 30 Days, or a custom period.
- Period From / Period To: Set specific start and end dates if needed.
- Period Division: Optionally divide results by month, quarter, or year.
- Admission Advisor: Choose to report on all advisors or a specific one.
- Generate Chart: Choose whether to generate a visual chart.
- Chart Activities: Select which types of activities you want to include (such as Notes, Meetings Completed, Phone In, Phone Out, To Dos, Emails Sent, and SMS Sent).
- Chart Data Labels: Choose whether to display data labels on the chart.
After selecting your options, click Apply to generate the report.
After you click Apply, ampEducator will generate a bar chart showing the volume of activities for each Admission Advisor, based on the types of activities you selected. Activities are color-coded in the chart legend, making it easy to distinguish between notes, meetings, phone calls, emails, SMS messages, and to-dos.

In addition, there is a results table underneath the chart, listing each Admission Advisor and the number of activities completed in each category.

The Lost Prospects report allows you to track Prospects who have been marked as Lost during a specific time period.
Start by setting your filters at the top:

- Period: Choose the timeframe you want to report on, such as Year to Date, Last 30 Days, or a custom date range.
- Period From / Period To: Manually select specific start and end dates if needed.
- Period Division: Optionally divide the results by month, quarter, or year.
- Breakdown By: Group the report by Tags, Interested Programs, Country, Province/State, or leave it set to None.
- Additional Filters: Narrow your results by Admission Advisor, Lead Source, Location, Lead Provider, International status, Tags, High School Grad Year, and more.
- Generate Chart: Choose whether to create a visual chart.
- Chart Type: Choose the type of chart (e.g., Pie, Bar) if you enabled Generate Chart.
- Chart Data Labels: Choose whether to show labels on the chart.
Once you click Apply, ampEducator will generate a summary based on your filters. You’ll see a chart (if enabled) that visually shows the breakdown of Lost Prospects, based on your selected breakdown category or filters.

Below the chart, a results table will list the total number of Lost Prospects, along with counts for each reason code (such as DEAD, FEE, NR, QUA, and others). You can also expand the table by clicking the expansion icon (small plus sign) next to the Period row.

The Rejected Prospects report allows you to track Prospects who have been officially marked as Rejected during a specific time period.
Just like the Lost Prospects report, you can start by setting your filters at the top:

You can select the Period, Period From and To dates, optional Period Division, and apply additional filters such as Admission Advisor, Data Source, Location, Tags, Interested Programs, Lead Provider, and more. You can also choose to generate a chart and select the type of chart you want to create.
Once you click Apply, ampEducator will generate a summary based on your filters. You’ll see a chart (if enabled) that visually shows the breakdown of Rejected Prospects, based on your selected breakdown category or filters.

Below the chart, a results table will list the total number of Rejected Prospects, along with counts for each reason code. You can also expand the table by clicking the expansion icon (small plus sign) next to the Period row.

In all Prospect reports — Performance, Activity, Lost, and Rejected — you have the option to easily export the data.
At the top right of any results table, there is an Export Data icon for exporting:

Depending on the report and the available information, a modal window will open where you can select which columns you would like to include. Simply check or uncheck the boxes based on what you need.

Once your selections are made, choose your export format — PDF, CSV, or XML — and the file will download to your device. This allows you to save or share the information outside of ampEducator for further analysis or record-keeping.
