Account Status

Account Status Overview

The Account Status section provides a quick visual indicator of a student’s financial standing. Statuses are color-coded for clarity:

  • Good (green) – No financial concerns.
  • Marginal (yellow) – A threshold has been met, and the student is at risk of having their account placed on hold.
  • Hold (red) – A specific number of days overdue or an outstanding balance amount has been reached, and the account is on hold.

Overriding Account Status

If needed, you can override the default Account Status by checking the 'Yes' box next to Override. This will reveal additional fields where you can manually select a different status and add an override note to document the reason for the change.

Configuring Marginal and Hold Status Criteria

The Holds settings in Institution Config / Accounts / Holds allow ampEducator to automatically place holds on student accounts when balances or payment plans become overdue. These settings can be customized to fit institutional policies.

When a Student’s account is placed on Hold, the following restrictions apply in the Student Portal:

  • Academic History is not available.
  • Course Grades are not available.
  • Program Audit is not available.
  • Self-Enrollment is disabled.

If enabled, ampEducator will automatically place a Hold on a Student’s account when their overdue balance or payment plan balance exceeds the minimum overdue amount and number of days set.

The Marginal status is applied when an account is nearing the Hold threshold. The Marginal Threshold % determines when a Student’s account is considered marginal. For example, if the Hold Balance Overdue threshold is set at $1,000 and the Marginal Threshold is 10%, a Student’s account will be flagged as Marginal when their overdue amount reaches $900 but remains below $1,000.

A daily report listing Students with Marginal or Hold statuses can be generated and emailed to selected users.

These settings ensure that account statuses are automatically managed based on overdue balances and help institutions enforce financial policies efficiently.
