Programs

Note: Before enrolling students in a program, ensure that the program is properly configured and available for the student's location. For instructions on configuring programs, please refer to the main Programs section of the guide.

Enrolling Students to a Program

You can enroll a Student in a Program in two ways:

Individually: Go to the Student Profile and use the "Enroll Program" section to assign a Program to a single Student. • Bulk Enrollment: Use the "More Actions" menu to enroll multiple Students at once.

When selecting programs, you can also enroll the student in related courses if they are part of the program components and share the same academic session.

The Program Enroll Date refers to the date the staff member enrolls the student, while the Program Start Date is the actual start date. The Expected End Date is optional and will be auto-calculated based on the program's duration.



Auditing a Student's Program

To audit a student’s program, click on the Audit Student Program icon. The audit will provide details about the program status, including how many mandatory and elective courses have been completed.

Completing a Student's Program

Once the student has completed all the components of the program, you can finalize the program by clicking the checkmark next to the program name. This marks the program as complete and updates the student's status accordingly.

If needed, selecting Final or Attendance Override will allow Admin to adjust the final outcomes for the student, along with a reason.

If the program includes a credential, such as a diploma, degree, or certificate, and you’ve enabled the ampEducator Credential Authentication Portal, check the 'Award Credential' box. This will send students a link they can share with employers to verify their credential and download it. If you haven't enabled this feature, the student’s program will simply be marked as complete within their program record. You also have the option to use an external credential provider for awarding credentials.



Withdrawing or Deleting a Student's Program

If needed, you can withdraw (or delete) the student's program by clicking the X next to the program name on the Student Profile. A modal window will appear, giving you options to withdraw the student from the program along with the reason and date.

If you prefer not to keep a record of the program, you can choose "Delete Program Record" under the Withdraw Type menu to permanently delete it (useful for correcting mistakes where no record of withdrawal is necessary). Custom withdrawal reasons can also be added, which we’ll cover in the next part of this article.
