Navigating Prospects
In ampEducator, "Prospects" refer to potential students, often called Leads. The platform is designed to help you easily track and convert these Prospects into enrolled students. From managing basic contact information to utilizing customized and automated workflows, ampEducator streamlines the entire process for you.
Important Features of Prospects in ampEducator include:
- Prospect Profiles: Detailed profiles for tracking and managing individual prospects, including contact information, academic interests, and personal details.
- Lead Management: Track prospects from initial inquiry to enrollment, with integrations for external lead providers.
- Advisor Assignment: Automatically or manually assign Admissions Advisors to prospects using Round Robin Pools or filters.
- Communication Tools: Send emails or SMS messages directly from the platform, complete with templates for bulk messaging.
- Follow-up and Event Scheduling: Manage events like interviews or campus visits, and create follow-up tasks such as phone calls, meetings, or sending emails/SMS templates - all within a prospect's profile.
- Tracking and Admissions Checklists: Monitor progress with custom stages, tags, groups, and enrollment checklists. Customize the Admissions Checklist to ensure all required steps are completed before enrollment.
- Financial Management: Manage all aspects of financial transactions, including tracking and recording payments for deposits, registrations, applications, and more. Generate receipts and statements efficiently while processing online payments directly through ampEducator.
- Document Management: Handle forms, applications, offers, and contracts - including digital signature options.
- Prospect Enrollment: After all requirements are completed and necessary documentation is in place, easily convert a prospect into a student for a smooth transition into your institution.
No matter how many features you choose to use, ampEducator offers a flexible range of tools to help streamline your workflow and convert Prospects into Students more effectively. Plus, all the information you gather while a prospect automatically transfers to the Student Profile upon enrollment, making the process even smoother.
Within the Prospects section, there are 8 key tabs that help you manage and track Prospective Students at different stages:
- All Prospects
- Leads
- Admissions
- Enrolled
- Lost & Rejected
- Lead Providers
- Agent Submissions
- Reports
Each of these tabs provides detailed information corresponding to the fixed stages of the Prospect journey in ampEducator, allowing you to easily navigate and manage your prospects based on their status.
In ampEducator, "Prospects" represent your total pool of prospective students, divided into 5 primary fixed stages:
- Lead
- Admission
- Enrolled
- Lost
- Rejected
These stages are the minimum statuses ampEducator requires to track and report on prospective students. Each stage shows a percentage of the total Prospects, helping you visualize where your Prospects are in the process.
In addition to these fixed core stages, you can create Custom Stages that fit your unique recruitment process, as seen in the picture above.
When Prospects are added, they will appear in the Prospects and Lead count at the top of the list. You can filter and search through the Prospect List to narrow down results. To view or edit a specific Prospect, simply click on their name, which will open their Prospect Profile.
The Prospect Profile consists of several tabs:
- Profile
- Activity
- Lead Stages
- Enrollment Checklist
- Account
- Communications
Each of these tabs features detailed sections that you can either scroll through or navigate to quickly using the "jump to" links on the right.
At the top of each Prospect Profile you will see Summary Account Data on the Prospect. This information is fixed and for quick reference purposes.
You can quickly access Prospect Details from the list by clicking the expansion [+] icon next to a Prospect’s name. This expands the details, allowing you to use shortcut buttons without opening the full Prospect Profile. These shortcuts save time and allow you to:
- Add Notes, Events, Emails, or SMS directly from the list.
- Mark the Prospect as Admitted, Enrolled, Lost, or Rejected.
- Move the Prospect into different Custom Stages.
- Access and complete the Enrollment Checklist (either General or based on Custom Stages).
This feature provides a fast and efficient way to manage Prospects without needing to navigate through multiple tabs.
The "More Actions" button above the Prospects List allows you to select multiple prospects and take various actions.
- Add to Group: Create or add selected prospects to new or existing groups for tracking, filtering, and sending bulk emails or SMS messages.
- Enroll Selected: Change the status of selected prospects to "Enrolled" and create student profiles.
- Invoice Selected: Generate invoices for the selected prospects.
- Merge Selected: Merge duplicate prospects by selecting a primary prospect record. This will copy missing information and documents from merged prospects while deleting the duplicates.
- Opt In / Out Mailing: Manage mailing preferences for selected prospects.
- Reject Selected: Change the status of selected prospects to "Rejected" with a reason code.
- Transfer Selected: Reassign selected prospects from one Admissions Advisor to another.
