Attendance
the attendance settings in institution config allow you to manage how ampeducator tracks, evaluates, and communicates student attendance across courses, sessions, and programs these settings control when students are flagged as marginal or review , how attendance averages are calculated, and the messages students see in their portal based on their current attendance performance student attendance status the student attendance status section allows you to control how ampeducator automatically monitors, updates, and manages students whose attendance is marginal or below defined thresholds status by – determines which attendance totals are used to calculate the student’s current attendance status current enrolled – uses weekly attendance totals from all currently enrolled courses recommended for continuous learning environments current session – uses attendance totals from the current academic session recommended for session based institutions current program – uses attendance totals from the current (primary) program grace weeks – defines how many weeks to wait before updating a student’s attendance status for example, if set to 2 , attendance updates will not occur during the first two weeks of a session or program stability weeks – defines how many consecutive weeks a student must maintain a new status before it is updated again for example, if set to 2 and the student’s attendance improves from review to good , the system will wait two weeks before confirming the promotion add hold – when enabled, a hold will automatically be placed on the student’s account whenever their attendance status changes to review hold type – select which type of hold will be applied hold types are configured in holds docid\ cpvixxu9tno1rjdybijzs generate weekly report – enables the automatic creation of a weekly report containing all students currently in marginal or review standing send report to – select the staff member(s) who should receive this report email student – when enabled, students automatically receive an email whenever their attendance status changes to marginal or review each week, ampeducator recalculates attendance and updates student statuses based on your configuration if a student’s attendance remains below the defined thresholds for the number of stability weeks, their status remains unchanged until they meet the improvement requirement student attendance defaults the student attendance defaults section defines the baseline values used to determine course, session, currently enrolled, and program attendance status these defaults apply institution wide but can be overridden in individual courses, programs, or sessions when needed course marginal % / course review % – define the attendance percentage range that determines marginal and review status for individual courses any attendance rate above the marginal percentage will be good , between marginal and review will be marginal , and below review will be review course projected absence % – the attendance percentage at which a student will be projected as review based on their current absence trend course max absences / course max consecutive – set the total or consecutive number of absences allowed before the student’s course attendance is marked as review if either value is set greater than 0 , the student’s status will automatically change to review once that limit is reached advanced settings – enable this option to define separate attendance settings for session , current enrolled , and program levels when enabled, additional fields will appear to set marginal and review percentages, the number of courses that can be marginal or review before the overall status changes, and how averages are calculated (weighted equally, by course credits, or by completed hours) overall marginal % / overall review % – define the overall marginal and review attendance percentages used across all levels when advanced settings is disabled overall marginal courses / overall review courses – set how many marginal or review courses a student can have before their overall attendance status changes overall avg calc – choose how the overall attendance average is calculated weighted equally by course – each course counts equally weighted by course credits – averages are weighted by the number of course credits weighted by course completed hours – averages are weighted by how many course hours have been completed these settings give you flexibility in how attendance is evaluated across different levels of study you can keep a single consistent rule across all sessions and programs or use advanced settings to fine tune thresholds for each student attendance messages the student attendance messages section allows you to define the default messages students will see in their student portal under the attendance tab these messages automatically display based on each student’s current attendance percentage and trend (for example, improving, stable, or declining) student attendance messages settings good / improving – message shown when a student’s attendance is improving and above the required level good / stable – message shown when attendance remains consistent and meets the required level good / declining – message shown when attendance is beginning to decrease marginal / improving – message shown when attendance is improving but still below the required threshold marginal / stable – message shown when attendance remains below the minimum required level these messages appear automatically on the student portal attendance tab and update weekly based on each student’s current attendance data institutions can customize the wording to match their communication preferences messages are embedded directly in the attendance status section of the student’s portal profile, appearing alongside details such as status , change , and weeks in status
