Templates

The Templates section allows you to create and store reusable templates for various types of communication, including emails, letters, SMS, and auto-responses. Using templates helps streamline messaging and ensures consistency when sending communications to Students, Prospects, and staff.

Creating New Templates

To create a new template, click New Template:

  • Choose a template type – General, Auto Response, Email, Letter, or SMS. You can select multiple types if needed.
  • Enter a title and description – The description is for internal use only.
  • (Optional) Select a PDF template – If you’ve set up a letterhead or other PDF in Institution Config, you can choose it from the dropdown. This applies only to Letters or General templates meant for PDFs or printing.
  • (Optional) Choose a template size – This only affects PDFs and printed documents, not emails or SMS.
  • Set access permissions – Choose read, update, and location access settings, then click Add to save.

Editing Templates

When you create a new template, you are automatically redirected to the Edit Template page. You can also edit an existing template anytime by clicking the edit icon next to it in the Templates list.

On the Edit Template page, you can:

  • Update template details – Modify the title, description, or any previously selected settings.
  • Enter a subject line – Required for Email and Auto Response templates.
  • Use the rich text editor – Format content, insert merge fields to personalize messages, and add tables or documents already stored in ampEducator.

Previewing Templates

While creating or editing a template, you can preview how it will appear before finalizing your changes. This helps ensure formatting, merge fields, and overall layout display correctly.

You can use the Preview buttons at any time:

  • Preview PDF – See how the template will look when saved or printed as a PDF.
  • Preview Email – Sends a test email to yourself so you can check the formatting and content as it will appear to recipients.

Quick Action Icons

Next to each template in the list, you'll find quick action icons that allow you to manage templates efficiently. These include:

  • Edit – Opens the template for modifications.
  • Preview PDF – Displays how the template will appear as a PDF.
  • Preview Email – Sends a test email to check formatting and content.
  • Delete – Removes the template if it’s no longer needed.

These options make it easy to update, test, and manage your templates directly from the Templates list.
