The **Attendance** tab provides a complete overview of a student’s attendance performance in ampEducator. It consolidates current attendance status, weekly summaries, attendance by course and program, and any recorded attendance hours. From this page, users can view attendance data, identify patterns or issues, and perform manual updates or report generation when needed.

## Attendance Status

The **Attendance Status** section provides an at-a-glance overview of a student’s current attendance performance. It’s designed to help staff quickly assess whether the student is meeting attendance requirements and to identify patterns such as absences, lates, or changes in standing over time.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/8RCXJqfcpwS7Zj0s9j1l5_image.png)

Attendance is automatically recalculated **every Sunday** based on the student’s most recent attendance data, but users can also manually update or override the status at any time.

This area summarizes the student’s attendance metrics and related policy settings. Key items include:

- **Status** – The student’s current attendance standing (*Good, Marginal, Review*)
- **Attendance %** – The overall attendance rate calculated from all courses.
- **Total Absences / Total Lates / Late %** – The number and percentage of absences and lates recorded.
- **Change** – Indicates whether the student’s status has changed or remained stable since the last update.
- **Weeks in Status (WIS)** – How long the student has maintained their current status.
- **Updated From / Updated By** – Shows if the status was calculated automatically or updated manually, and by whom.
- **Status Date** – The date the status was last recalculated or manually updated.
- **Last Attendance Date** – The most recent date with recorded attendance activity.
- **Status Policy Box** – Displays the threshold percentages and rules used to determine attendance levels. These can be configured in [Institution Config / Students / Attendance](docId\:fEz7DwoTDFFlN5BNyAIFc).

These details together help you quickly understand both the student’s current attendance health and the criteria used to evaluate it.

### Updating a Student’s Attendance Status

Attendance statuses are recalculated automatically every Sunday based on the student’s most recent attendance data. However, you can manually update or override a student’s status at any time if needed.

To manually update, click **Update Status** at the bottom of the page.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/8qZLfkYizBR2srgwnvvJS_image.png)

ampEducator immediately recalculates the student’s attendance using the latest available records. Once the update is complete, a confirmation message appears at the top of the screen.

When a manual update is performed, the system records that change by marking **Updated From** as “Manual” and showing the name of the user in the **Updated By** field. Manual updates refresh the current attendance display but do not create new weekly records.

### Generating a Student Attendance Report

You can generate a detailed attendance report for a student directly from the **Attendance Status** section. To do this, click **Generate Report** at the bottom of the page.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/T7Ntop1V9u6YDQLkjJ4AL_image.png)

A window titled **Generate Attendance Report** will open, showing the student’s name and fields to enter a start and end date.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/-FupPF4XWdkHKxMCRX506_image.png)

You can choose to set specific dates to limit the report to a particular range, or you can leave one or both fields blank. Leaving both fields blank will generate a report for the student’s entire attendance history. The report type defaults to **PDF**, and when you click **Generate**, ampEducator automatically downloads the report to your computer.

The downloaded file, titled **Student Attendance Ad-Hoc Report**, includes the student’s name and ID, the total number of sessions attended, lates, and absences, as well as average attendance percentages. It also lists each attendance entry with the course name, date, start and end times, attendance status, total hours attended, and any notes.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/xvOUsK1hwKxvtm0ZWf1Jb_image.png)

The report provides a comprehensive record of the student’s attendance activity and can be used for academic review, compliance reporting, or documentation purposes.

## Attendance Status Weekly Roll Up

The **Attendance Status Weekly Roll Up** shows a week-by-week summary of a student’s attendance performance. It helps you track attendance trends over time and see how long a student has maintained their current status, such as *Good*, *Marginal*, or *Review*.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/C6kgv6b_CVF7ulUrUvl_m_image.png)

Each row represents one week of attendance data, including the week start date, status, attendance percentage, absences, late percentage, and any marginal or review courses. The **WIS** (Weeks in Status) column indicates how long the student has been in the same status, and the **Change** column shows whether it has remained stable or shifted from the previous week.

Clicking the **magnifying glass icon** opens the **View Student Attendance Status** window, which displays detailed information for that week — including attendance percentages, absences, lates, and the status policy used to calculate the result.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/PGfb4c616ezrICQrqruzK_image.png)

This provides a focused snapshot of how the student’s weekly status was determined.

## Attendance Status Summary

The **Attendance Status Summary** provides a consolidated view of a student’s attendance across all sessions and programs. It displays their current cumulative attendance as well as summaries by academic session and by program. This allows you to quickly assess overall attendance trends and identify where issues may exist.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/HgH2a895fIaUZuSkvQvWj_image.png)

Each row in the table lists the **status**, **attendance percentage**, **absences**, **late percentage**, and any **marginal** or **review** courses for that type of record. The summary automatically updates as new attendance data is entered.

Clicking the **magnifying glass icon** beside a row opens a detailed view for that record:

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/Uu26snmvXbipvWAZajMzK_image.png)

- **Cumulative View:** Shows the student’s total hours completed and missed, overall attendance percentage, absences, lates, and current attendance status.
- **Session View:** Displays attendance alongside session details such as credits attempted and earned, average grade, and academic status for that session.
- **Program View:** Expands to show academic and attendance information for the student’s program, including progress toward credentials and a list of courses with their statuses and credits.

These detailed views provide a complete picture of the student’s attendance performance at every level—cumulative, session, and program—without leaving the main attendance tab.

## Attendance Status by Course

The **Attendance Status by Course** section shows attendance results for each course the student is currently enrolled in. It provides an easy way to compare attendance rates, absences, and lates between courses and quickly identify which classes may need attention.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/G1qGGiZjYZs1t7AxAVUBY_image.png)

Each row lists the course name, attendance status, attendance percentage, number of absences and lates, and total recorded hours. The daily grid displays attendance activity for each day of the week, with checkmarks for attended classes and icons for lates or absences. You can use the filters at the top of the page to narrow results by student status or academic session, and the search bar to quickly locate a specific course.

Clicking the **magnifying glass icon** beside a course opens the **View Student Course** window.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/_aHcqCD-Gl_Id0FncMK3X_image.png)

This view includes the student’s course details, enrollment status, and academic information alongside a detailed attendance breakdown. It lists each attendance entry with the date, time, duration, and attendance status, along with any notes.

## Hours

The **Hours** section lists all attendance hours recorded for the student using the hour clock. It provides a detailed breakdown of time in and out, total hours worked, and any penalties or breaks applied. The **Total Hours to Date** at the top shows the cumulative total of all recorded hours.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/d9spbtQiU68gJjnVS14YY_image.png)

Each row in the table represents a single day’s record, including the **Date**, **Time In**, **Time Out**, and **Total Hours**. To see more detail for a specific day, click the **expansion (+)** icon beside the date. This displays all individual time segments recorded that day, along with each entry’s total hours and modification details such as when and by whom it was updated.

You can also filter results by date range using the **Filters** menu. Selecting Hours From and Hours To allows you to view only hours recorded within that time period. If you need a copy of the student’s hour records, use the **Export Data** icon above the table to download the data as a report.

### Adding Student Hours

To manually record additional attendance hours, click **Add Hours**. The **Add Student Hours** window allows you to select a date and enter sign-in and sign-out times. You can also check **Ignore Hour Clock** if you need to bypass configured hour clock restrictions.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/3jDFi4pV_Hyklcl3ANDBd_image.png)

When all fields are complete, click **Add Hours** to save the entry or **Cancel** to close without saving.

### Deleting Student Hours

If you need to delete multiple records, select them using the checkboxes beside each date. Then open the **More Actions** menu and choose **Delete Selected**.

![](https://api.archbee.com/api/optimize/dAaYdF15xm67t_NLKoQQv/AWXYvOb61BufS6E0ISmrC_image.png)

The selected hours will be removed once confirmed.
