Adding Staff & Instructors

Before adding staff and instructors to ampEducator, you must gather some essential details to ensure they are set up correctly within the system.

Required Information for Each Staff Member

To grant access to staff and instructors, you must assign the following credentials:

  • Name: Full name of the staff or instructor.
  • Username: Unique identifier for logging in.
  • Password: Secure password for account access.
  • Role(s): Assign appropriate roles based on their responsibilities.
  • Location Access: Specify which locations they can access.

Note: While only these fields are required, you may also provide additional information if available. Enter as much detail as you can to ensure comprehensive staff profiles.

Important: Before your staff can log in with their credentials, ensure their roles and location access are assigned correctly based on their responsibilities.

With these details ready, you can now proceed to add staff and instructors using one of the two available methods: manually or via CSV import.

Method 1: Adding Users Manually

To add a new staff member, click on your username and select Staff & Instructors. Then, click Add New Staff to begin.

Enter the staff member's details. If your institution has multiple physical locations, select the one where they primarily work. Under Location Access, choose the locations they should have access to within ampEducator. Assign the relevant roles based on their responsibilities—multiple roles can be assigned if needed. Finally, create a username and password, then click Add Staff to save the changes.



Method 2: Importing Users via CSV

If you need to add multiple staff members or instructors at once, importing a CSV file is the most efficient method. Follow these steps to ensure a smooth import process. Note: Before you can assign locations to users in the CSV file, these locations must first be set up in ampEducator.

Download the Staff & Instructor CSV Template:

Start by downloading the CSV template that ampEducator provides.

Prepare the CSV File:

Open the downloaded template and enter the necessary information for each staff member or instructor. Ensure that you at least fill in the required fields:

  • Name
  • Username
  • Password
  • Role(s)
  • Location Access

Upload the Completed CSV File:



Assign Locations and Roles (if needed):

If you didn’t assign locations or roles in the CSV file, you can do so manually after the import.
